Please note that there is limited number of each type of room, reservation will be made on the ‘first come first serve’ basis. If the type of room is not available by the time the participant reserves, other types of room will be recommended and reserved upon the participant’s confirmation.

We remind all participants to bring their passport for hotel check-in. Payments can be made either by credit cards (preferred) or cash.

5. Confirmation of Participation

If you have not confirmed your participation yet, please confirm your participation at the earliest convenience to hold your hotel reservation.

6. Ticket and logistics arrangements

In general, participants are requested to make their own travel arrangements and send the itinerary to the focal persons of PPD and Govt. of China unless PPD informs you otherwise in writing. All the participants of the Committee Meetings, International Conference, Partners Country Coordination (PCC) Meeting, Executive Committee Meeting (Ex-Co), Board Meeting and other side events are requested to secure their Chinese Visa before travelling to the country.

7. Airport Transfer

Airport pick-ups to Hotel Nikko New Century Beijing are arranged if the participants provide flight information before 7 Oct.2013. In the occasions when taxi is used, please print the address in Chinese language provided below for the taxi driver.

Please be reminded to provide the participation form (attached) including flight information to Mr Yang Liu (liuyang@ihecc.org) no later than 7 Oct.2013.

8. Insurance

Participants are advised to obtain their own insurance coverage for sickness, accident (including the cost of medical attention), temporary or permanent disability, death, injury and third-party risks, covering the entire duration of the meeting including travel time. PPD would not be responsible for any such costs nor would it have any liability whatsoever.

9. Visa

Letter to Facilitate Chinese Visa

Invitation letters from the Government of China will be sent to participants to facilitate their entry visa on receipt of confirmation of attendance and receipt of a copy of their passport with at least six months’ validity from intended date of entry to China and the itinerary for travel.

Visa-on-Arrival (VOA)

There will be no provision to obtain visa on arrival. Therefore, PPD delegates are requested to obtain their visa prior travelling.

10. Conference Identity Card

Organizing committee will provide a Conference Badge to each participant.

11. Currency Exchange Facilities

Foreign Currency Exchange Booths are available at the airport in Beijing. However, you will find self-service currency exchange machine in the hotel. You may also exchange your foreign currency with different banks in Beijing.

The exchange rate between RMB (Chinese currency) to USD is approximately 1 USD to 6.12 RMB, which is subject to change over time.

12. Health Issues

A 24-hour First Aid and Emergency Care station will be available during the conference.

13. Registration

Conference Registration is available at the lobby of Hotel Nikko New Century Beijing from 9:00-20:00 on Oct 19-21.

14. Security

Please kindly go through security checks where needed.

Please ensure your doors and windows are closed and be aware of safety exits during your stay at the hotel.

15. Communication Services

Paid local calls are available in guest rooms. For long-distance calls, please contact the front desk, additional charges apply.

16. Power Voltage

The power voltage in China is 220V/50 Hz. Power sockets are with three flat prongs or two parallel prongs. Power converters are available in each room.

17. Weather

Late Autumn in Beijing usually sees much wind and temperature dropping steadily. Average temperature is around 5-16℃, or 41-60.8℉. Warm coats and light sweaters are suggested.

Beijing is 8 hours ahead of Greenwich Mean Time (GMT).
